General Terms and Conditions of Sale – Adults

2. Scope of Application

These General Terms and Conditions of Sale apply to all French language courses, services and accommodations provided by French-In, whether booked directly or via partner agents.

By submitting a registration, the student confirms that they have read and fully accepted these conditions.


3. Registration & Payment

3.1 Registration Procedure

  • Registration is submitted online or through a French-In advisor.

  • Registration becomes effective upon receipt of:

    • Completed registration form

    • Payment of a deposit of €200 (or 30% of total fees if a visa is required)

    • Non-refundable registration fee of €80

3.2 Payment Terms

  • The full balance must be paid no later than 30 days before the course start date.

  • For registrations made within 30 days before the start date, full payment is due at registration.

  • Payments must be made in euros via credit card, bank transfer or certified cheque.

  • All bank charges are the student’s responsibility.

3.3 Visa Applicants

  • Students needing a visa must start procedures at least two months prior to their intended start date.

  • A pre-registration certificate is issued after receipt of the deposit.

  • The full payment is required no later than 30 days before the start date, upon visa issuance.

  • Failure to pay may result in cancellation of both course and accommodation.

3.4 Visa Refusal

  • Visa refusal must be justified with official documentation.

  • Cancellation more than 18 days before course start: €100 fee retained.

  • Cancellation 18 days or less before course start: 10% of course fees retained (max. €450).

  • Registration and accommodation search fees are non-refundable.

  • Refunds will be made to the original payer; all bank charges remain the student’s responsibility.


4. Cancellations & Modifications

4.1 General Cancellations

  • Cancellation 30+ days before course: full refund (excluding registration fees).

  • Cancellation 29-18 days before course: deposit retained (max €450).

  • Cancellation 17-9 days before course: 50% of course price retained (max €800), 100% of first week’s accommodation.

  • Cancellation 8 days or less: 50% of course and accommodation costs retained (max €2000).

4.2 Special Cases (Force Majeure)

  • Recognized situations: serious illness, accident, or death of an immediate family member.

  • Valid documentation required (doctor certificate, death certificate, travel documents).

  • Refund: unused lessons refunded (week started is due), minus one full week fee.

4.3 Postponements

  • May be granted with 30 days’ notice (shorter delays only in force majeure).

  • €80 administrative fee applies.

  • Postponed courses must begin within 6 months of initial date.

4.4 Changes to Private Lessons

  • Private lessons may not be rescheduled less than 48 hours before the scheduled time.

  • Missed sessions are due in full.

4.5 Vacation Requests (Long-term Students)

  • Requests must be submitted at least 18 days in advance.

  • 13-24 week stays: max 2 consecutive weeks off.

  • 25+ week stays: max 2 x 2 consecutive weeks.

  • €80 administrative fee per vacation request.


5. Educational Organization

  • Minimum student age: 18 years (or 16 with parental authorization).

  • School closures: two-week closure at Christmas, French public holidays (dates on website).

  • Public holiday compensation: one-week online evening course may be offered for short stays.

  • Group sizes: average 12 students, max 14.

  • Placement tests: written test before arrival and oral test on arrival day.

  • Beginners: must follow an intensive 2-week starter module, or complete individual lessons beforehand.


6. Accommodation

  • The School acts as intermediary between student and host.

  • Bookings run Sunday to Saturday; extra nights are charged additionally.

  • Accommodation changes after arrival require administrative approval and €80 fee.

  • Extensions require availability confirmation 2 weeks prior.

  • No refund for late arrivals or early departures.

  • Accommodation search fees are non-refundable.


7. Transfers

  • Transfer services can be arranged upon request at least 7 days prior.

  • Missed transfers caused by student delays are non-refundable.


8. Insurance

  • Students must provide personal insurance covering:

    • Health, accidents, repatriation, civil liability, and personal belongings.

  • The School holds civil liability insurance limited to its premises and activities.


9. Personal Data (GDPR)

  • Personal data is processed in compliance with GDPR (EU Regulation 2016/679).

  • Data Controller: French-In by Glotte-Trotters.

  • Personal data is used solely for educational and administrative purposes.

  • Data access requests may be submitted to: rgpd@french-in.com


10. Image Rights

  • The School may use photographs taken during classes and activities for communication purposes (brochures, website, social media), unless the student objects in writing.

  • Usage is non-commercial, free of charge, and unlimited in time and territory.


11. Behaviour

  • Violations of rules, inappropriate conduct or illegal actions may result in dismissal without refund.


12. Jurisdiction

  • All disputes shall fall under the exclusive jurisdiction of the courts of Bordeaux, France.

2. Scope of Application

These conditions apply to all junior programs organized by French-In for minors aged 13 to 16, including language courses, accommodation, transfers and related services.

By registering, the legal representative confirms having read, understood, and accepted these conditions.


3. Registration and Payment

3.1 Registration Procedure

  • Registration is made via the dedicated online form or through an educational advisor.

  • Registration is confirmed upon receipt of:

    • The completed registration form

    • A deposit of €200 (or 30% of total fees if a visa is required)

    • A non-refundable registration fee of €100

    • Accommodation supplement of €120 for one-week stays

3.2 Payment Terms

  • Full balance is due no later than 30 days before the start date.

  • Late registrations (less than 30 days prior) require full payment upon registration.

  • Payments must be made in euros; all banking fees are the student’s responsibility.


4. Cancellations & Modifications

4.1 General Cancellations

  • Cancellation 30+ days before course start: deposit refunded, minus €100 registration fee.

  • Cancellation 29-18 days: deposit (max €450) non-refundable.

  • Cancellation 17 days or less: 50% of course price retained (max €800), plus 100% of first week’s accommodation.

  • All refund-related bank charges remain the student’s responsibility.

4.2 Modifications & Postponements

  • Requests made more than 15 working days before arrival are subject to a €100 administration fee (plus any price difference).

  • Date changes requested later are considered cancellations and new bookings.


5. Educational Organization

  • Minimum age: 13 to 16 years old.

  • Public holidays: No compensation for public holidays. Dates are listed on the school calendar.

  • Class size: Average 12, maximum 16 students.

  • Placement test: Written test prior to arrival required.

  • Level: Maximum accepted level for juniors is B2.


6. Accommodation

  • Arrival: Sunday / Departure: Saturday. Extra nights are charged separately.

  • Accommodation changes after arrival require written, justified requests, subject to approval and €100 administration fee.

  • The student must accept and respect accommodation rules.

  • Students are financially responsible for any damage caused.


7. Insurance

  • Students must hold personal insurance covering:

    • Medical expenses, repatriation, accidents, theft or loss of personal belongings, and civil liability.

  • The School declines responsibility for personal effects.


8. Transfers

  • Transfers may be arranged by the School within pre-established schedules.

  • Arrivals/departures outside those schedules incur additional charges.


9. Complaints

  • Complaints must be submitted in writing before the end of the stay to be considered.


10. Use of Image

  • The School may take photographs for its communication (brochures, website, social media).

  • Any refusal must be expressed in writing on the registration form.


11. Behaviour

  • Inappropriate or illegal behaviour may result in immediate dismissal without refund.


12. Jurisdiction

2. Scope of Application

These conditions apply to all language stays organized by French-In for school groups, universities, associations or private groups traveling to France.

By accepting the quote, the Client (organizer) accepts these General Terms and Conditions on behalf of themselves and all participants.


3. Definitions

  • Client: The legal entity or person organizing the group stay.

  • Participant: Any individual student within the group.

  • Group Leader(s): Accompanying adults appointed by the Client, responsible for minors.


4. Registration and Confirmation

  • The Client signs and accepts the quote to confirm booking.

  • The Client provides:

    • Complete participant list (names, ages, allergies, special needs, group allocation).

    • Parental authorizations and emergency contact details.

    • Details of accompanying adults.

  • French-In reserves the right to refuse or cancel bookings in case of incomplete information.

  • Any additional participants beyond the initial quote may lead to price revision or refusal depending on availability.

  • Once the quote is signed, no modification to hours, schedule or program is accepted.


5. Price and Payment Terms

  • Deposit: 30% of the total price upon signing the quote.

  • Balance: Due no later than 30 days before the group’s arrival.

  • For bookings made less than 50 days before arrival, full payment may be required upon booking.

  • All payments are made in euros; bank charges are the Client’s responsibility.


6. Cancellations

6.1 Full Group Cancellation

  • Deposit: non-refundable.

  • Cancellation 50 days or more before arrival: no balance required.

  • Cancellation after full payment: no refund.

6.2 Partial Cancellation (Individual Participants)

  • Deposit: non-refundable unless justified (force majeure).

  • Cancellation 50+ days before arrival: balance waived for cancelled participant(s).

  • Cancellation after balance payment: no refund.

  • If cancellations reduce the group size below the minimum stated in the quote, a new quote may be issued.

6.3 Cancellation by French-In

  • In the event of cancellation by French-In, any unused services will be fully refunded.

  • Clients are strongly advised to purchase travel cancellation insurance.


7. Administrative Procedures

  • The Client is responsible for participants’ travel documents, visas, health requirements, and insurance.

  • Visa application documents will be issued upon deposit payment and receipt of full participant list.

  • Visa procedures must begin sufficiently in advance; French-In assumes no responsibility for visa denials.

  • Visa refusal triggers the standard cancellation rules described in Article 6.


8. Supervision and Management

  • Group Leaders remain fully responsible for supervising minors during the stay.

  • Participants must comply with French-In rules and instructions.


9. Insurance

  • Clients must ensure participants are properly insured for:

    • Health, accidents, repatriation, personal belongings, and civil liability.

  • The School declines responsibility for any loss, theft or damage of personal property.


10. Use of Image

  • French-In may take photos/videos during activities for internal or promotional use.

  • Any refusal must be submitted in writing before arrival.


11. Complaints

  • Complaints must be made in writing before the end of the stay.


12. Behaviour

  • Inappropriate or illegal conduct may result in immediate exclusion without refund.


13. Jurisdiction

  • Any legal dispute shall fall under the exclusive jurisdiction of the courts of Bordeaux, France.

2. Scope of Application

These conditions apply to all exams organized or hosted by French-In, including:

  • DELF / DALF

  • TCF IRN, TCF TP, TCF Canada, TCF Québec

By registering, candidates accept these terms in full.


3. Registration Procedure

  • Registrations are made:

    • Online via French-In’s dedicated platforms (ex. Calendly for TCF IRN, DELF/DALF, TOEIC).

    • Or by email for certain exams (e.g. TCF TP, TCF Canada, TCF Québec).

  • Exams are open subject to availability.

  • Registration closes:

    • DELF/DALF: 1 month before exam date.

    • TCF IRN (computer): 48 hours before exam date.

    • TOEIC (online on site): 24 hours before exam date.

  • Late registrations will not be accepted.


4. Payment

  • Full payment is required at the time of registration.

  • Payment confirms registration and secures the candidate’s place.

  • No unpaid reservations are permitted.


5. Cancellation & Postponement

  • All exam registrations are final and non-refundable.

  • Requests for postponement:

    • More than 30 days before the exam: postponement possible depending on availability.

    • Less than 30 days before: no postponement permitted.

  • In case of force majeure (serious illness, death of a close relative):

    • Valid supporting documents translated into French may be submitted.

    • French-In may allow rescheduling, subject to the exam board’s (France Éducation International) approval.


6. Examination Conditions

  • Candidates must comply with all official exam regulations provided by the certifying authorities.

  • Late arrivals will not be admitted into the exam room.

  • DELF/DALF oral exams may take place on a different day than the written exam.

  • Exam dates and times are confirmed at least 3 weeks prior; no changes permitted afterwards.

  • Any form of fraud or attempted fraud will result in sanctions, including possible exclusion from further exams for up to 5 years.
